1. Register your clinic
Anyone who runs a clinic can register it from the website. The person who registers becomes the clinic admin.
- 1 Open the website and click "Register clinic".
- 2 Enter the clinic name, phone, email, address and city. Each clinic name must be unique.
- 3 Optionally upload your clinic logo (PNG, JPG or WEBP, up to 1 MB). It appears on token slips and your patients' token page.
- 4 Enter your own name, mobile number or email, and a password of at least 8 characters.
- 5 Click "Register clinic and start free trial". You are signed in and taken to your clinic dashboard.
Good to know
- Your free trial is 30 days. Everything works during the trial.
- You can change the clinic name, contact details and logo any time from Clinic Settings.
2. Who does what
Everyone signs in on the same login page with their email or mobile number. Each person sees only the menus for their role.
- 1 Clinic admin: adds doctors and receptionists, sets fees, schedules and booking rules, books tokens, runs the queue and updates Clinic Settings.
- 2 Receptionist: books tokens for walk-in patients, runs today's queue, skips no-shows, marks fees paid and prints token slips.
- 3 Doctor: sees their own queue, calls the next patient and sets their own duty hours, leave and booking window.
- 4 Patient: books tokens online with doctors who allow it, follows the token live and sees their appointments.
Good to know
- If the clinic is deactivated, the admin, receptionists and doctors cannot sign in until it is activated again.
- If a staff member is set to inactive, they are signed out and cannot sign in.
3. Add your doctors
Admin menu: Doctors.
- 1 Click "Add doctor" and enter the name, email or mobile number and a password the doctor will use to sign in.
- 2 Choose one or more specialties (for example General Physician, Gynecology, Ultrasound).
- 3 Enter the consultation fee in rupees. It is copied onto every new token.
- 4 Tick "Patients can book this doctor online" if patients may book this doctor themselves. Leave it off if only reception should issue tokens.
- 5 Set the booking window: how many days ahead the doctor can be booked, and how many hours before a slot patients can book it.
- 6 Save. You can edit the doctor or set them inactive any time.
Good to know
- Booking window defaults: 7 days ahead, and patients can book a slot 12 hours before it starts. Reception is not limited by the hours rule.
- 0 days means the doctor can only be booked for today. 0 hours means patients have no hours limit.
4. Add receptionists
Admin menu: Receptionists.
- 1 Click "Add receptionist" and enter the name, email or mobile number and a password.
- 2 Share the sign-in details with the receptionist.
- 3 To stop someone using the system, edit them and set the status to inactive. They are signed out straight away.
5. Set duty hours and leave
Menu: Schedules (admin, any doctor) or My Schedule (doctor). Patients can only book inside these hours.
- 1 Pick the doctor (admins only) and click "Add a shift or day off".
- 2 Choose the weekday, start and end time, an optional break, and the slot length (for example 15 or 20 minutes).
- 3 Optionally set the most appointments for that shift.
- 4 Add a weekly day off by ticking "Day off" for that weekday.
- 5 For leave or changed hours on one date, use "Leave & date changes". The weekly schedule applies again the next day.
- 6 Use the "Booking window" box to change how far ahead the doctor can be booked.
Good to know
- Token numbers follow the slots. With duty from 16:00 and 20-minute slots, 16:00 is token 1, 16:20 is token 2, 17:00 is token 4, whatever order people book in. Numbers start from 1 again every day.
- All times are Pakistan time (PKT).
6. Book a token at reception
Menu: Book Token (admin and receptionist).
- 1 Choose the doctor and the date. Free slots appear; booked or passed slots are crossed out.
- 2 Click a free slot.
- 3 Enter the patient's name and, if they have one, their mobile number.
- 4 Tick "Fee received now" if the patient has paid. Otherwise the fee stays pending.
- 5 Click "Book token". The "Book token" button stays off until a slot and the patient name are filled in.
- 6 The token number appears. Click "Send on WhatsApp" to send the patient their live link, "Copy link" to share it another way, or "Print token" for a receipt slip.
Good to know
- If the mobile number belongs to a patient account, the token is added to that account and the patient gets notifications.
- The token slip prints on 80 mm receipt printers; switch to 58 mm on the print screen if needed.
7. Run the queue
Menu: Today's Queue (admin and receptionist) or My Queue (doctor). The page refreshes by itself.
- 1 Choose the doctor (admin and receptionist). You see who is being served now, who is waiting, and the average consultation time.
- 2 When the patient is ready, click "Call Next". The next token is announced by voice and today's waiting patients get a notification.
- 3 When a patient is being seen, the button says "Finish & Call Next": it completes the current patient and calls the next one.
- 4 If a patient is not present, click "Skip" on their row. Skipped tokens are not called again.
- 5 Mark the fee paid or pending from the Fee column. Once a visit is completed and paid, the fee is locked.
- 6 Cancel a waiting token if the patient will not come. The slot becomes free for someone else.
Good to know
- Only the admin, receptionist or doctor can call the next patient. Patients can never call or skip.
- The live token page and the patient app update instantly when you call the next token.
8. For patients
Patients use the website or the mobile app.
- 1 Create an account with name, mobile number or email and a password. Tokens the clinic booked with that number are added automatically.
- 2 Open "Book Token" and filter by city, then clinic, then specialty, then doctor.
- 3 Choose a date and a free slot, then confirm. The token appears live on the dashboard.
- 4 Follow the token: who is being served now, how many people are ahead and the expected time. The page announces the token by voice after the first tap.
- 5 Pay the fee at the clinic.
Good to know
- Booking for a slot opens a set number of hours before it starts (12 hours unless the doctor changes it).
- One token per day. Patients cannot cancel online; please tell the reception.
- Doctors who do not take online booking are not listed. Get a token at the clinic reception instead.
- Anyone with the token link (for example from WhatsApp) can open the live page without signing in.
9. Appointments and dashboard
Keep track of every token.
- 1 Dashboard: today's tokens, waiting and completed counts, and figures for the week and month.
- 2 Appointments: every token, with filters for date, doctor, status and fee. Print or share any token from here.
10. Trial and payment
MyToken is free for the first 30 days.
- 1 Your trial end date is set when you register.
- 2 Before the trial ends, contact us to pay for the next period. We record your payment and the dates it covers.
- 3 Your clinic keeps working while payment is being arranged.
